Role Purpose
As a Payroll Migration Project Manager, you will be instrumental in leading complex payroll system migration projects. You will build strong relationships with key business stakeholders across HR, Finance, and IT, understanding their strategic direction, processes, and critical requirements to become their trusted advisor on all elements of project delivery. This role demands a deep understanding of the intricacies of payroll operations and the critical importance of accurate, compliant, and timely payroll processing. You will be adept at navigating both agile and traditional project management methodologies, adapting your approach to ensure successful outcomes. A key focus will be on robust change management delivery and hand-off, ensuring minimal disruption and clear communication to all affected parties. You will be accountable for delivering your projects, ensuring their alignment with agreed benefits, and proactively mitigating the inherent risks associated with payroll migrations, particularly within an SAP environment.
Role Responsibilities:
- Lead and manage end-to-end payroll migration projects, including system implementations, upgrades, and data transfers, ensuring adherence to project scope, timelines, and budget.
- Develop comprehensive project plans, including detailed work breakdown structures, resource allocation, and critical path analysis, specifically for payroll migration initiatives.
- Proactively identify, assess, and manage project risks and issues, with a particular focus on the unique challenges of payroll migration such as data integrity, compliance, business continuity, and employee impact. Escalate critical items in a timely manner.
- Cultivate and manage the expectations and satisfaction of diverse stakeholders, including senior leadership, HR, Finance, IT, and external vendors, ensuring clear communication and alignment throughout the project lifecycle.
- Implement effective change control processes, ensuring all project changes, especially those impacting payroll processes or systems, are thoroughly assessed, communicated, and approved, with a strong emphasis on managing the impact on employees.
- Ensure meticulous tracking and reporting of project resources and budgets, maintaining financial discipline throughout the migration.
- Develop and distribute timely, accurate status reports with key metrics to appropriate stakeholders, highlighting progress, risks, and critical decisions.
- Adhere to and champion the organisation’s project management processes, governance framework, and best practices, adapting them as necessary for the specific demands of payroll migration.
- Collaborate closely with HR and Finance teams to ensure the new payroll system meets all functional, compliance, and reporting requirements.
- Oversee the successful hand-off of migrated payroll systems and processes to operational teams, ensuring comprehensive documentation, training, and support structures are in place.
- Manage, coach, and motivate project team members, fostering a collaborative and high-performing environment.
- Communicate with openness, honesty, and respect in all situations, demonstrating adeptness at conflict resolution and providing clear direction.
Required Skills & Experience:
- Proven experience managing complex, large-scale Payroll Migration projects, including system implementations and data transfers.
- Exceptional communication skills, both verbal and written, capable of inspiring confidence in business stakeholders, project teams, and senior leadership, particularly when discussing sensitive payroll information.
- Strong understanding and practical experience of change management principles and their application in large-scale organisational transitions, especially within HR and Payroll functions.
- Demonstrable experience with SAP Payroll systems (or similar large-scale ERP payroll solutions like Workday, Oracle HCM) is highly desirable, including an understanding of its integration points and data structures.
- In-depth understanding of the unique risks and challenges associated with payroll migration projects, including but not limited to data integrity, regulatory compliance (e.g., GDPR, local tax laws), business continuity planning, and managing employee impact.
- Good commercial awareness and extensive experience in managing project budgets and optimising resource utilisation.
- Highly organised and adaptable, with the ability to manage multiple priorities and respond effectively to changing project requirements in a fast-paced environment.
- Analytical and flexible, with the ability to rapidly understand ambiguous and complex concepts related to payroll processes and system functionalities.
- Ability to take ownership and demonstrate commitment to delivering projects on time and within scope, utilising appropriate project management tools and methodologies (e.g., Agile, Waterfall, Hybrid).
- Experience working extensively with geographically distributed teams, both on-shore and off-shore.
- Familiarity with agile delivery methodologies (e.g., Kanban, Scrum) and experience in transitioning teams to agile ways of working, where applicable to migration phases.
