Location: Remote/online

Duration: 5-10 days over three weeks (Monday 9th to Tuesday 31st March)

Rate: £500 per day maximum (£5,000 total budget)

Context and Purpose

BBC Media Action is the BBC’s international charity, and we believe in the power of media and communication for good. We work in more than 30 of the world’s poorest and most fragile countries, supporting the independent media essential to democracy and development. Each year, our projects and programmes reach 100 million people facing poverty, inequality and insecurity – with information they can trust, helping to improve health, bridge divides, challenge prejudice, and save and change lives.

We have roughly 450 colleagues working in over 30 countries outside of the UK, across many time zones, who need to be able to access accurate and up to date organisational information quickly, easily and independently.

In 2020 when Covid hit, BBC Media Action’s IT team quickly gathered a lot of useful organisational information including policies and templates onto a sharepoint site and called it The Hub.In 2022, a different central team carried out a needs assessment and substantially expanded and updated the Hub, and re-named it Hub 2.0. Over the last six months or so, it has become clear that the Hub 2.0 itself needs an overhaul if it is to continue to be a useful place for colleagues to find and utilise the information that they need.

BBC Media Action is seeking an experienced SharePoint Intranet Consultant to support a targeted refresh of our organisational intranet. Current challenges include: an overly busy landing page requiring excessive scrolling, a poor and unreliable search function, duplicated and outdated information, limited visibility of key resources, and a confusing user experience.

Our operational language is English, but this can be the second, fourth or fifth language for some of our users, and levels of digital confidence also vary widely across teams. The platform must therefore be intuitive, consistent, and supportive of autonomous working. The consultant will work closely with an internal project team to deliver improvements by April 2026.

Responsibilities

Optimise search functionality, including exploration of AI assistance

  • Conduct a diagnostic review of the current SharePoint search experience, including metadata, indexing, permissions, content structure and search schema.
  • Explore the potential integration of an AI assistant to enhance search accuracy, context understanding, and retrieval of organisational information (e.g., natural-language queries, summarisation, surfacing relevant content).
  • Identify structural and configuration issues currently reducing search relevance.
  • ·Recommend and implement targeted search improvements, including metadata strategy, tagging rules, and navigation refinements.
  • Develop simple, sustainable guidance for staff — particularly relevant for a global, multilingual user base — on how to tag, store, and update content to maintain search performance.
Redesign and simplify the SharePoint landing page
  • Review the existing landing page to identify clutter, navigation challenges, and pain points for staff across diverse international teams.
  • Propose a streamlined, accessible landing-page design that prioritises clarity, easy navigation, and surfacing of critical global resources.
  • Produce wireframes or mock-ups illustrating the proposed layout and user journey - to be implemented by our in-house designer.

Review SharePoint content and recommend a sustainable management approach

  • Audit libraries, folders, and pages to identify duplication, outdated materials, unclear ownership, and inconsistencies.
  • Develop a clear set of criteria for content relevance, retention, and organisation — suitable for international teams with varying roles and needs.
  • Recommend improvements to content structure, naming conventions, and lifecycle management.
  • Propose a simple content-management framework outlining roles, responsibilities, review cycles, and archiving rules.
Deliverables

Search Review & AI Exploration

  • Brief diagnostic of current search configuration and issues.
  • Recommendations to improve search relevance and usability.
  • Initial assessment of options for an AI-enhanced search assistant.
  • Basic metadata/tagging guidance for global teams.
Simplified Landing Page Design
  • Wireframes or mock-ups for a clearer, streamlined landing page.
  • Either implement the new layout or provide a practical implementation plan.
  • Short maintenance guide for future updates.
Content Audit & Governance Recommendations
  • High-level audit outlining duplication, outdated content, and structural issues.
  • Criteria for evaluating and managing content across international teams.
  • A simple content-management framework (roles, ownership, review cycle).
Final Handover
  • Summary presentation of findings, recommendations, and next steps.
  • ·ransfer of all deliverables and editable files.
Requirements
  • Proven experience designing, improving, and managing SharePoint intranet environments serving distributed international teams.
  • Strong understanding of SharePoint Online architecture, metadata strategy, UX design, and modern search configuration.
  • Experience or familiarity with AI-enhanced search approaches (e.g., natural-language search, AI-powered assistants, or M365 Copilot-integrated search).
  • Ability to analyse user needs across diverse cultural and geographic contexts and translate them into practical intranet improvements.
  • Strong communication skills for engaging with both technical teams and non-technical global stakeholders.
  • Experience conducting content audits and developing sustainable content-governance frameworks.
  • Knowledge of Power Automate, Power Apps, and M365 integrations is desirable.
  • Relevant Microsoft certifications (e.g., SharePoint, Microsoft 365 Fundamentals) are an advantage.
