Overview
Scott Jenkins Water Softeners is a long established, family run business specialising in domestic water softener installations, servicing, reverse osmosis filtration, and consumables.
We already have office coverage for inbound calls, booking, installer coordination, and materials dispatch. This role exists to build the engine behind the scenes: tighten systems, automate repeat work, strengthen customer pathways, and increase booked work with measurable improvements.
This is a long term, part time role for a highly capable operator who enjoys turning a small business into a fast, well run machine.

- This is not a phone answering or booking role
- This is not general administration support
- This is a systems, automation, and growth ownership role
Key responsibilitiesSystems, operations, and customer relationship management
- Own and optimise BigChange (or quickly become highly competent): job stages, templates, checklists, workflows, reporting, and internal discipline
- Turn messy processes into clear workflows and simple standard operating procedures
- Build and maintain a reusable template library for common customer situations
- Create job packs and standards that reduce errors, call-backs, and wasted time
- Customer relationship management discipline: ensure every enquiry, quote, and follow up has a clear status, next action, and measurable outcome
- Maintain clean data, tagging, and notes so reporting and automation remain reliable
Automation and artificial intelligence
- Use artificial intelligence tools daily to speed up creation of templates, documents, and campaign assets
- Identify repetitive admin and implement automations that remove manual chasing and prevent mistakes
- Use integrations where appropriate (for example Zapier, Make, or similar) to connect systems and reduce duplicated work
- Maintain a simple internal knowledge base so systems stay consistent as the business grows
Customer pathways, promotions, campaigns, and social media
- Build follow up pathways that convert enquiry to quote to booked install
- Build repeat business pathways for servicing, filters, and service subscriptions
- Improve reverse osmosis attachment rate through clear offers and customer messaging
- Create and run simple promotions and campaigns across email and social media to drive bookings and repeat sales
- Build a practical social media system: content plan, reusable post templates, posting rhythm, and basic performance tracking
- Write practical copy for customer emails, offers, website updates, and campaign messaging that drives action
Website, tracking, and advertising coordination
- Handle light website updates (basic pages, offers, simple edits) and create simple offer pages to support campaigns
- Ensure tracking is in place so results can be measured (lead source, quote to booking conversion, cost per lead, cost per booking)
- Oversee Google Ads activity and performance: coordinate with external support when needed, keep tracking and reporting accurate, and ensure spend is tied to booked outcomes (you do not need to be a full time Google Ads specialist, but you must be confident managing it and holding providers accountable)
Reporting and rhythm
- Produce a short weekly report the owner can read in five minutes: enquiries, quotes, bookings, installs completed, call-backs, cancellations, reverse osmosis uptake, subscriptions, and outcomes
- Recommend improvements based on numbers, not guesses
RequirementsNon negotiables
- Strong evidence you can build systems and deliver measurable outcomes in a small business
- Strong customer relationship management system understanding and confidence building workflows, with either existing BigChange experience or clear evidence you can learn and become highly competent in BigChange quickly
- Excellent written English with calm, professional tone
- Confident daily use of artificial intelligence tools for real output and automation
- Comfortable setting up and improving processes, templates, and reporting without hand holding
- United Kingdom based, with the right to work in the United Kingdom
- Available three consistent weekdays per week
- Self employed and able to invoice monthly
- Awareness of basic email consent and opt-out requirements (United Kingdom GDPR and PECR basics)
Preferred
- Copywriting that converts, not just content for likes
- Experience building email sequences and simple campaign calendars
- Confidence with integrations (Zapier, Make, or similar)
- Comfort interpreting numbers and producing simple weekly reports
- Experience in a service business environment (field engineers, scheduling, customer expectations)
What success looks like in the first 60 to 90 days
- Big Change workflow cleaned, enforced, and easy for the office and installers to follow
- Quote follow up system running consistently, with clear reporting
- Review, referral, and subscription prompts built into the customer journey
- Reverse osmosis pathway implemented and tracked
- At least three high value automations implemented that remove repeat admin and reduce errors
- Tracking and reporting in place so you can see what is working and what is not
- Weekly five minute reporting delivered consistently

Pay
- £350 to £650 per day depending on proof and capability (three days per week). Please include your rate in your application.
