We're looking for a Project Manager who thrives in the space between vision and execution. You'll ensure our speed doesn't compromise our precision, bridging the gap between what founders dream and what our technical team delivers. What You'll Do

You are the pulse of every project. You'll take ownership of the operational rhythms that keep our agency running smoothly, ensuring flawless execution across multiple concurrent client projects.

  • The Daily Pulse: Lead team check-ins to unblock the road. You'll set the agenda for Design and Dev syncs, ensuring everyone knows their North Star for the next 8 hours. You're the person who notices when someone is stuck and proactively clears the path forward.
  • Sprint Mastery: Own the lifecycle of our sprints, managing tasks and daily project management. You will collaborate directly with designers and developers to determine project specifications and monitor progress proactively. You understand that we work across multiple project stages simultaneously - from initial scoping and discovery calls to active development, prototype testing, and post-delivery support phases.
  • Performance & Alignment: Establish clear delivery criteria to ensure project operations strictly follow design specifications and client requirements. You're the quality gate that ensures what we promised matches what we deliver.
  • Client Ownership: Be the face of the project. You'll manage timeline communication, handle onboarding and off-boarding, and ensure all logins and account accesses are seamless. When clients need clarity on technical progress, you provide it. When they need reassurance during challenging phases, you give it. You manage client expectations around testing phases, proper handoffs between development stages, and clear identification of blockers.
  • Guardian of Scope: When a project starts to drift, you identify overages, document them, and communicate the impact on the timeline and budget. You understand the difference between scope evolution and scope creep, and you protect both the client and our team from unmanaged expansion.

  • The Multi-Tasker: You're happy managing 10+ concurrent projects across diverse industries. You don't get overwhelmed by context-switching. You are clear on multiple project timelines and spot potential conflicts before they happen.
  • The Translator: You can speak Dev to our engineers and Business to our founders without losing anything in translation. You understand technical concepts well enough to ask thoughtful questions and spot potential issues, and you excel at explaining them in plain English to non-technical stakeholders.
  • The Lover of Details: You're the person who notices a missing login credential or a vague ticket description before it causes a delay. You spot inconsistencies in project documentation. You catch when a client dependency hasn't been fulfilled. You're organised without being rigid.
  • The Agile Manager: Whether it's Scrum, Kanban, or a Lean hybrid, you know how to keep a backlog prioritised and a team focused. More importantly, you understand the spirit of agile - responding to change over following a plan.
  • The Proactive Communicator: You don't wait for a client to ask for an update; you've already posted it. You don't wait for a developer to tell you they're blocked; you've already asked. You anticipate questions and answer them before they're asked.

The First 30 Days

We want you to hit the ground running with total clarity. We have defined these specific milestones to help you claim the Project Management role and begin unblocking the business from day one.

  • Week 1, Full Immersion: You'll work closely with our COO, Zoe Makin, to step into the role confidently. You'll shadow current projects, observe Friday client update creation, participate in Monday internal updates, and begin understanding the rhythm of our work. You'll be introduced to all active clients and team members, gaining context on project history, client personalities, and current challenges.
  • Week 2-3, Shared Ownership: You begin taking over account management activities with Zoe's oversight. You draft Friday updates for review, lead morning check-ins with Zoe’s support, and start identifying potential scope issues or blockers independently.
  • Week 4, Primary Contact: You become the primary point of contact for active projects, delivering Friday updates autonomously and fully owning the Monday internal update cycle. You've audited current SOWs to identify potential scope creep and are proactively managing client expectations.
  • Week 5+, Process Ownership & Improvement: You are fully owning the sprint cycle and delivering all project communications autonomously. At this stage, we welcome your input to evaluate existing processes and launch your own improvements to better the business. You're not just maintaining systems - you're making them better.

We work in a fast-paced, fully remote environment. This is a freelance/contractor position starting with flexible hours, designed to scale up as our portfolio of AI and SaaS projects grows.

The Essentials:

Availability: Our core collaboration hours are UK business hours, though the nature of freelance work allows flexibility around focused work time.

Experience: Proven track record in SaaS or Dev-heavy project management. We welcome junior applicants who feel they have what it takes to fulfil the role.

Rate: Negotiable based on your ability to hit the ground running and your level of experience with similar tech-forward agencies.
