Role Overview:
We are seeking an experienced AI Automation Specialist to design, implement, and maintain automated workflows across our education and training business. This is a 6-month contract role (with the possibility of leading to a full-time position) focused on streamlining processes in several key areas: educational/training operations, internal administration, marketing lead generation, and CRM/sales. The Specialist will use tools like Zapier, Make.com, and the OpenAI API (ChatGPT) to integrate systems and introduce AI-driven efficiencies. The role is open to remote, hybrid, or on-site work in the UK, depending on the candidate’s preference and location.

Key Responsibilities:

  • Workflow Automation Design: Analyze existing processes in education delivery, bureaucratic administration, marketing, and sales to identify opportunities for automation and efficiency gains. Develop end-to-end automated workflows that reduce manual work and errors.
  • Implement No-Code Integrations: Set up and optimize automation sequences using no-code/low-code platforms such as Zapier and Make.com, connecting various apps (LMS, CRM, email marketing tools, etc.)​getonbrd.com. Ensure data flows smoothly between systems used for student management, content delivery, and internal operations.
  • AI Tool Integration: Integrate AI capabilities into business workflows. For example, use the OpenAI/ChatGPT API to automate content generation (marketing copy, email responses), build conversational chatbots for student inquiries, or summarize and report on data. Leverage AI to make automations “smarter” (e.g. personalize communications or trigger actions based on AI analysis).
  • CRM and Sales Automation: Enhance the CRM pipeline by automating lead capture and follow-up. Implement triggers for lead nurturing (e.g. automatic emails or messages upon form submission), set up CRM integrations that notify sales teams of hot leads, and use marketing automation to improve conversion rates.
  • Internal Process Automation: Streamline internal management tasks such as scheduling, reporting, and administrative workflows. For example, automate employee onboarding checklists, training enrollment notifications, or certificate generation. Reduce bureaucratic overhead by replacing repetitive manual processes with automated ones.
  • Monitoring and Maintenance: Monitor all automations for errors or failures on a regular basis. Troubleshoot issues promptly to minimize workflow interruptions. Perform routine audits of workflows to ensure they still meet business needs and are running optimally.
  • Continuous Improvement: As the business evolves, adjust and upgrade automations. Incorporate new tools or more efficient processes when possible. Stay up-to-date with the latest features of platforms like Zapier/Make and new AI API capabilities to enhance our automation toolkit.
  • Documentation and Training: Document all automated workflows (steps, integrations, and logic) clearly for transparency. Train or brief team members on how automations work and how to trigger or utilize them. Provide support to staff in adopting the new automated processes.

Skills & Qualifications:

  • Automation Expertise: Proven experience developing automated workflows using Zapier and/or Make.com (Integromat). Ability to build multi-step Zaps and complex scenarios that integrate multiple systems​getonbrd.com.
  • AI Integration: Hands-on experience with AI APIs (especially OpenAI’s ChatGPT). Comfortable designing prompts or using AI models to perform tasks like text generation, summarization, or chatbot dialogues within workflows.
  • CRM and Marketing Tools: Familiarity with common CRM platforms (e.g. Salesforce, HubSpot, Zoho) and marketing automation tools. Capable of integrating CRM data with other apps and automating sales funnel activities (lead scoring, follow-ups, etc.).
  • Scripting & Development: Basic programming or scripting skills (JavaScript, Python, etc.) to extend no-code tools when necessary. (E.g. writing small scripts for custom Zapier code steps or using APIs directly for bespoke integrations.)
  • Analytical Problem-Solving: Strong ability to analyze business processes and identify inefficiencies. Creative mindset for designing automation solutions that fit the unique needs of educational or training workflows.
  • Project & Time Management: Experience in managing projects or multiple automation tasks simultaneously. Able to prioritize requests from different departments (education, marketing, operations) and deliver solutions on time.
  • Communication: Excellent communication and interpersonal skills. Comfortable working with non-technical staff to gather requirements and explain automation outcomes. Ability to document processes and present results of automation (e.g., time saved, error reduction) to stakeholders.
  • Domain Knowledge (Bonus): Prior experience in the education or training sector is a plus. Understanding of typical e-learning workflows, student onboarding, or training product sales can help in tailoring effective automations.

Contract Details:

  • Duration: 6-month contract with potential to transition into a permanent full-time role based on performance and company needs.
  • Location: Flexible – we are open to remote candidates (UK or international time zones with some overlap to UK hours). Hybrid or on-site work in our UK office is also possible if the candidate is local and prefers in-person collaboration.
  • Hours: Full-time contract, roughly 40 hours per week (flexible scheduling can be discussed).
  • Compensation: Competitive contract day rate commensurate with experience and location (details in next section). All necessary software subscriptions and tool access will be provided by the company.

Application and Assessment Process

We follow a structured process to ensure candidates possess the required technical skills and practical experience:

  • Initial Skills Assessments (TestGorilla)

Shortlisted applicants will complete two brief online assessments via TestGorilla:

  • Assessment 1: Approximately 9 minutes
  • Assessment 2: Approximately 10 minutes

  • Proof of Previous Work

Candidates who successfully pass the assessments will be invited to submit clear evidence or a portfolio demonstrating previous automations or relevant projects completed using Zapier, Make.com, ChatGPT/OpenAI integrations, CRM automation, or similar tools.

  • Interview Stage

Following the review of your work samples, selected candidates will be invited for a formal interview (remote or in-person) to discuss their experience, approach, and suitability for the role.

  • Paid Automation Test Task

Successful candidates from the interview stage will be asked to complete a small, practical automation task relevant to our business. Clear instructions and requirements will be provided, and this task will be paid at an agreed-upon rate upon successful completion.

Final Offer:
Upon successful completion of the practical automation task, the candidate will receive a formal offer and contract for the AI Automation Specialist position (initially 6-month contract with potential for full-time conversion).
